Event promotion and offline campaigns

We plan how the right people will hear about your event, prepare advertising and partner placements, and create a convenient registration journey. For offline campaigns, we agree formats, materials and how their contribution will be measured.

What event promotion means at Eqvola

An event, whether a conference, opening, webinar, workshop or exhibition stand, has a date after which promotion is too late. We therefore work backwards from that date: when to announce it, send reminders, launch ads and follow up afterwards.

The registration journey matters as much as advertising. People must quickly understand what the event is, who it is for and how to register. We check the page, form, confirmation and reminders to help registrants actually attend.

Offline activity can also be measured. We plan dedicated links, QR codes or promo codes for printed materials, outdoor advertising and on-site promotion to see what worked.

This service covers promotion. The venue, technical equipment, programme and event logistics are not included. We do not guarantee attendance or ticket sales: they also depend on the topic, date, price and speakers.

When you need this service

01 /

The event is approaching but registrations are low

The announcement is published, but people are not rushing to register. You need a plan for what to do next.

02 /

People register but do not attend

The attendee list is long, but the room is half empty. Reminders and the participation confirmation process need review.

03 /

Regular events without a system

Promotion starts from scratch each time, while previous attendees' contact details sit unused.

04 /

An opening, launch or exhibition stand

You need to reach people nearby and those interested in your industry.

05 /

Offline advertising without feedback

You print flyers or run outdoor advertising but do not know whether it brings customers.

HOW WE WORK

How the work progresses

You approve the plan, copy and budget; we handle preparation, launch and tracking.

  1. 01

    Understanding the event

We discuss the format, audience, date, budget and work already completed. Outcome: clarity on whom we are inviting and why they should attend.

  2. 02

    Promotion plan

We create a calendar from announcement to completion: channels, messages, partners and budget. Outcome: a media plan for your approval.

  3. 03

    Registration and materials

We prepare the page, form, reminders and advertising materials, checking the entire journey from ad to confirmation.

  4. 04

    Promotion

We launch advertising and partner placements, monitor registrations and adjust the channel mix.

  5. 05

    Campaign review

We analyse where attendees came from and how many registrants attended, then prepare thank-you communications and next steps.

FAQ

Questions about event promotion

Can’t find your question?

Send it through the form and we will reply.

Go to form
Do you organise the event itself?

No. This service covers promotion. The venue, technical equipment, programme and logistics remain with you or your event organiser. We work to a shared calendar so announcements match the actual plans.

Do you guarantee attendance numbers?

No. Attendance depends on the topic, date, price, speakers and surrounding circumstances. We are responsible for the plan, material quality and convenient registration, and show which channels work.

How can we tell whether offline advertising worked?

We create a dedicated link, QR code or promo code for each offline channel. Reports then show where registrations or enquiries came from. Some people will still arrive without tracking information, and we account for that.

Do you work with online events?

Yes. Reminders are particularly important for webinars and online conferences: when an event is only on a screen, it is easier to miss. We also plan post-broadcast materials for those unable to join.

What should we do with attendees after the event?

Send a thank-you message, recordings or materials, and offer a next step. If attendees consent to emails, they become an audience for future events and offers. All questions and answers
