Chatbots and AI assistants

We build bots and AI assistants that answer common questions, collect the necessary details and hand conversations to a person. For customers and your team, with clear limits on what the bot can say and do.

What chatbots and AI assistants mean at Eqvola

A chatbot follows a defined conversational flow: buttons, clarifying questions, collecting contacts, booking or order status. An AI assistant uses a language model to respond more flexibly, based on an agreed knowledge base. The two can be combined.

In marketing and sales, a bot answers questions about services, terms and delivery, clarifies an enquiry and passes it to CRM. For your team, it finds answers in internal instructions or drafts replies that a person checks before sending.

AI can make mistakes: it may misunderstand a question or confidently say something absent from the sources. We therefore limit topics, prohibit invented prices and terms, define when to hand over to a person and check responses before launch.

We collect only the personal data needed and tell people they are talking to a bot. We check how the AI service processes data and do not send it sensitive information without a need and your approval.

If a simple form, menu or FAQ page solves the task, we will say so. We add AI where it is actually needed.

When you need a chatbot or AI assistant

01 /

Managers answer the same questions repeatedly

Prices, delivery, opening hours and order status — the same questions every day. The bot handles common questions and passes the rest to a person.

02 /

Enquiries arrive outside working hours

A customer writes in the evening and gets a reply the next day. The bot can take the enquiry and collect details for the manager.

03 /

Enquiries arrive without the necessary details

The manager has to establish the basics before handling the request. A bot clarifies the key details and passes the enquiry to CRM.

04 /

Your team searches for answers in instructions

You have procedures and a knowledge base, but finding what is needed is difficult. An AI assistant can suggest an answer with a link to its source.

05 /

You want to try AI with controls in place

We start with a limited use case, response checks and clear conditions for handing over to a person.

What bot development includes

01

Conversation flow and knowledge

  • common questions, actions and response boundaries;
  • a knowledge base from agreed sources: services, terms and instructions;
  • response tone and prohibited topics;
  • conditions for handing the conversation to a person.
02

Configuration and connections

  • a bot on your website, Telegram, Viber or other available channels;
  • platform and language model selection for the task;
  • passing enquiries and contacts to CRM;
  • a notice that the person is talking to a bot.
03

Testing and control

  • testing with a set of real questions, including difficult ones;
  • checking that the bot does not invent prices, terms or promises;
  • conversation logs for review within the agreed scope;
  • rules for updating the knowledge base.

HOW WE WORK

How the work progresses

You approve the boundaries and responses; we configure the bot and check its behaviour.

  1. 01

    Define the task and boundaries

    We choose what the bot answers, what it collects and where it stops. Deliverable: a conversation flow and a list of situations requiring human handover.

  2. 02

    Prepare the knowledge

    We collect and organise the sources the assistant will use. Outdated or contradictory information is corrected before launch.

  3. 03

    Configure and connect

    We build the bot, connect channels and CRM, and configure restrictions.

  4. 04

    Test

    We test ordinary, difficult and provocative questions, as well as human handover. Deliverable: a list of tested scenarios for your approval.

  5. 05

    Launch and review

    We enable it gradually, review conversations and refine responses and boundaries.

What you receive

01 /

A working bot or assistant

Connected to the agreed channels and CRM, with configured boundaries.

02 /

An organised knowledge base

Sources used for responses and rules for keeping them updated.

03 /

Human handover rules

When and to whom the bot passes a conversation, and what information the manager receives.

04 /

Test results

Which questions were tested and where responses were restricted.

What we need from you

  • someone who knows the product and approves responses;
  • up-to-date materials: services, terms, prices and instructions;
  • access to channels, the website and CRM;
  • a decision about who takes over from the bot and when;
  • your company’s requirements for processing personal data.

The bot speaks for your business, so someone on your side must approve its responses.

What determines the cost

01

Ways to work together

Rule-based bot. Buttons and questions for common actions, without a language model.

AI assistant. Knowledge-based responses with boundaries, testing and human handover.

02

What determines the cost

  • the number of channels and conversation flows;
  • the size and condition of the knowledge base;
  • integrations with CRM and other systems;
  • testing, data and security requirements.
03

What is paid for separately

  • AI model usage at the providers’ rates;
  • a bot platform subscription, if required;
  • paid messaging in messengers.

Questions about chatbots and AI assistants

Can’t find your question?

Go to form
Can an AI assistant make a mistake?

Yes. Language models may misunderstand a question or produce an answer absent from the sources. We limit topics, test responses and configure human handover, but errors cannot be eliminated entirely. The bot therefore does not make important decisions.

What does the bot do when it does not know the answer?

It does not invent an answer. It offers to pass the question to a person and collects contact details or context. Handover conditions are agreed in advance: a difficult question, a complaint or a request to speak to a person.

Is it safe to send customer data to AI?

We collect only what the task requires and check the selected service’s data processing terms. We do not send sensitive data to a model unnecessarily.

Will the bot replace managers or support staff?

No. It handles common questions and data collection, while difficult conversations, agreements and decisions remain with people. All questions and answers
