Service and system integrations

We configure data exchange between services you already use. First we check what the systems actually allow, then build the transfer with error controls.

What service integration means at Eqvola

An integration is agreed data exchange between systems: a website enquiry appears in CRM, a payment updates an order status, or a new order enters accounting or a spreadsheet. Without repeated entry or manual copying.

Before making a promise, we check what your services allow: APIs, webhooks or ready-made connectors, their limitations and charges. If the required connection is unavailable, we say so and suggest another route.

We choose the implementation for the task: a built-in integration, a Make or n8n workflow, or custom code. We consider not only launch, but also who will maintain the connection afterwards.

The normal flow is only part of the work. We define in advance how to handle duplicate events, incomplete data and service outages, and who is notified of failures.

When you need an integration

01 /

Website enquiries are entered into CRM manually

Some enquiries get lost or reach the team late. We configure transfers with required-field validation.

02 /

Payments and orders are disconnected

A manager manually matches payments to orders. We link statuses where the payment service allows it.

03 /

Accounting cannot see what is in CRM

Customer, product or invoice data is entered twice. We establish the authoritative system for each data type.

04 /

Spreadsheets have become an intermediate database

Data passes between systems through Google Sheets or Excel. We check where the manual step can be removed.

05 /

An existing integration is unreliable

Data sometimes goes missing or is duplicated, and nobody can see why. We examine the logic and add controls.

What integration work includes

01

Analysis and design

  • a list of systems, data and exchange directions;
  • checking APIs, webhooks, connectors, limits and charges;
  • field mapping and data transformation rules;
  • an authoritative source for each data type.
02

Implementation

  • built-in integrations or workflows in Make, n8n or similar platforms;
  • custom code where existing tools are insufficient;
  • protection against duplicates and repeated processing;
  • access through your accounts with the minimum necessary permissions.
03

Controls and handover

  • event logs and failure notifications to the responsible person;
  • retries where they are safe;
  • testing with agreed examples and invalid data;
  • documentation of logic, access and dependencies.

HOW WE WORK

How the work progresses

You approve the exchange design and provide access; we check, configure and test it.

  1. 01

    Describe the exchange

    Which systems, which data, when it is transferred and in which direction. Deliverable: an integration diagram for your approval.

  2. 02

    Check the connections

    We test API or connector access, establish limits and costs. If something is unavailable, we propose an alternative before implementation begins.

  3. 03

    Configure

    We implement transfers, data transformations and exception handling using test data or a safe mode.

  4. 04

    Test

    We check normal operation, duplicate events, incomplete data and service outages. We clarify who receives error notifications.

  5. 05

    Launch and hand over

    We enable the integration in the working process, hand over documentation and agree who will maintain it.

What you receive

01 /

A working integration

Data moves between systems according to agreed rules.

02 /

Data flow diagram

Which data goes from where to where, and what happens to it along the way.

03 /

Failure monitoring

A failed operation does not go unnoticed by the responsible person.

04 /

Documentation for ongoing work

Logic, access and dependencies, so the integration can be changed without guesswork.

What we need from you

  • a list of systems and someone who knows how they are used;
  • administrator access or API keys within the agreed scope;
  • examples of real data, including unusual cases;
  • a decision about the authoritative system for conflicting data;
  • someone responsible for responding to failure alerts.

Provide access securely, not in a shared chat.

What determines the cost

01

Ways to work together

A single connection. For example, website enquiries to CRM, or payments to order statuses.

Several connected systems. Agreed data exchange between CRM, payments, accounting and spreadsheets.

02

What determines the cost

  • the number of systems and exchange directions;
  • API availability and limitations;
  • the complexity of data transformations and exceptions;
  • control and security requirements.
03

What is paid for separately

  • Make, n8n or another workflow platform’s charges, or a server to run it;
  • paid APIs and third-party integration modules.

FAQ

Questions about service integration

Can’t find your question?

Send it through the form and we will reply.

Go to form
Which is better: Make, n8n or custom code?

It depends on the task. Existing platforms are quicker to launch and easier to change, but have charges and limits. Custom code provides more control, but changes require a developer. We compare options before choosing.

What if the system has no API?

We look for alternatives: file exchange, a ready-made module, email or a partly manual step. If there is no reliable option, we say so before starting work, not afterwards.

What happens when a service changes its API?

The integration may stop working. That is a vendor dependency beyond our control. We therefore provide failure alerts and document the logic to make recovery easier.

Can you integrate an accounting system?

Often, yes, but it depends on the specific system, its version and accounting rules. We check capabilities and agree the logic with your accountant before making a commitment.

Is it safe to give you access?

We request only the permissions needed for the integration and work through your accounts. Access can be revoked or changed after the work is complete. All questions and answers
