Custom CRM and internal systems

We build a system around how you manage customers, enquiries and internal tasks when off-the-shelf CRM cannot accommodate your rules. Before development, we honestly compare it with configuring existing tools.

Custom CRMInternal systems

What a custom system means at Eqvola

It is software built for your company’s logic: who handles an enquiry, which statuses it goes through and which documents and approvals are needed. It can cover sales, order fulfilment, partner management or other internal processes.

We do not always suggest a custom system. If configuring an off-the-shelf CRM meets the need, we recommend its implementation as a separate automation service. We discuss custom development when existing options require constant workarounds or offer poor long-term value.

We start with the process, not screens. We describe roles, data, rules and exceptions, then separate the first working stage from future development.

A custom system needs maintenance: fixes, updates and changes as processes evolve. We include these costs in the estimate from the start. Code handover, documentation and responsibility for the environment are recorded in the agreement.

When you need this service

01 /

An off-the-shelf CRM cannot accommodate your process

Your team works around limitations, uses parallel spreadsheets and coordinates manually. We check whether configuration is enough or custom logic is genuinely needed.

02 /

Processes have outgrown spreadsheets

Data is scattered across files, and discrepancies are resolved through messages. We define roles, the core workflow and data structure.

03 /

Different roles need different permissions

Managers, operators, partners and customers see different information and perform different actions. We design access permissions as part of the system.

04 /

Sales and fulfilment are disconnected across tools

After a deal, orders are transferred to another service or through messages. We connect stages within one system or agree data exchange between existing ones.

05 /

Licensing costs grow with the team

User and add-on fees increase with every new employee. We compare options including support costs, not just initial development.

What system development includes

01

Analysis and design

  • describing the process, roles, data and business rules;
  • comparison with off-the-shelf CRMs and integration options;
  • data structure and access permissions;
  • first-stage boundaries and a plan for future development.
02

Interfaces and features

  • workspaces, lists, customer and enquiry records;
  • statuses, tasks, reminders and approvals;
  • documents and reports using agreed templates;
  • administrative settings for the responsible person.
03

Data and implementation

  • migrating data from spreadsheets or a previous system;
  • data exchange with your website, accounting and other services;
  • testing scenarios, roles and error handling;
  • introducing the team to the system and transitioning to its use.

HOW WE WORK

How the work progresses

You appoint a process owner and approve the rules; we design, develop and implement the system in stages.

  1. 01

    Define the boundaries

    We discuss processes, existing tools, problems and budget. If requirements are not defined, we suggest a separate research stage first.

  2. 02

    Design the system

    After the contract and payment, we document roles, scenarios, data and integrations. Deliverable: an agreed first stage and acceptance criteria.

  3. 03

    Develop in stages

    We build modules, demonstrate intermediate versions and test them against real tasks. We discuss the impact of new requirements on scope before carrying them out.

  4. 04

    Implement

    We migrate data, configure access and help your team move to the system. Together, we decide when old spreadsheets cease to be the primary tool.

What you receive

01 /

A system specification

Roles, scenarios, data structure and first-stage boundaries in an agreed document.

02 /

Working modules

Scope tested against defined criteria, ready for staged introduction.

03 /

Migrated data

Customers, enquiries or other history within the agreed scope, with post-migration checks.

04 /

Operational materials

Access, role-based instructions and technical explanations; code handover is recorded in the agreement.

05 /

A development plan

Subsequent modules and dependencies based on actual system use.

What we need from you

  • a process owner who knows the rules and exceptions;
  • examples of real enquiries, documents and reports;
  • access to existing spreadsheets, systems and data within the agreed scope;
  • security requirements and internal constraints before design begins;
  • employees in different roles to test intermediate versions.

Without input from the people who will use the system daily, it is difficult to make it convenient.

What determines the cost

01

Ways to work together

Research and design. A separate stage when the process and requirements still need documenting.

Development and implementation. Staged delivery of the agreed scope, with checks at every stage.

02

What determines the cost

  • the number of roles and complexity of business rules;
  • the number of modules and first-stage scenarios;
  • integrations with other systems;
  • the volume and condition of data to migrate;
  • security and access requirements.
03

What is paid for separately

  • server resources and infrastructure;
  • licences and paid third-party services;
  • ongoing support and development.

How does this differ from implementing an off-the-shelf CRM?

Implementation configures an existing product within its capabilities. A custom system is built around your rules but requires greater investment in development and support. We therefore suggest it only when existing options do not fit.

How do we know an off-the-shelf CRM is not right for us?

We compare required scenarios, roles, integrations and costs against existing systems’ capabilities. If configuration meets most needs, we recommend it. If the team constantly works around limitations, we discuss custom development.

Can we start with one part of the process?

Yes. Starting with a core workflow, such as enquiry handling, is often sensible. We plan subsequent modules as separate stages while considering data and access requirements from the start.

What happens to our spreadsheet data?

We assess its actual condition: duplicates, formats and gaps. We plan migration and validation if included in the task. Sometimes moving only part of disorganised historical data is more appropriate.

Who will support the system after launch?

We can continue under an agreed support and development arrangement. Handover to your team or another contractor is also possible; we agree the materials in advance. All questions and answers
