Automation

Marketing automation

We configure the technical side of marketing: event-driven emails and messages, segment updates and data exchange between CRM, your website and messaging services. So the right person receives the right message, using current data and with their consent.

What marketing automation means at Eqvola

It means configuring workflows and connections between marketing services. An event — registration, purchase, an abandoned basket, an order status change or a long pause — triggers an agreed message or updates a segment without manual exports.

We separate content from technology. Deciding what to offer, to whom and which emails to write is strategy and content work, prepared through CRM and email marketing. We ensure the data is correct and conditions trigger as intended.

We start with data: where contacts come from, which events can be recorded and where consent and unsubscribes are stored. If data is missing or inaccurate, no workflow will fix that.

Only people who have consented receive messages. We synchronise unsubscribes between services and transfer only the necessary personal data. We do not guarantee delivery or engagement: these depend on the contact base, content and email providers’ rules.

When you need marketing automation

01 /

Emails and messages are sent manually

Welcome emails, reminders or order notifications are prepared from scratch each time. We configure event-based triggers for them.

02 /

Segments are updated through exports

Mailing lists are manually compiled from CRM or your store and quickly become outdated. We configure automatic updates.

03 /

Contacts from advertising forms get lost

Enquiries from social media or website forms reach managers late or without a source. We pass them to CRM with the campaign data.

04 /

Services do not know about each other

Someone unsubscribes in one service but continues receiving messages in another. We synchronise consent and statuses.

05 /

Workflows exist, but nobody remembers their logic

Different people configured them, and it is unclear who receives what. We examine, document and organise them.

What marketing automation includes

01

Data and segments

  • reviewing contact sources, events, consent and unsubscribes;
  • synchronising contacts between CRM, your store and the messaging service;
  • segments that update according to rules;
  • passing source and campaign data with each contact.
02

Workflows

  • email and message sequences based on events and conditions;
  • stop conditions: purchase, unsubscribe or contact with a manager;
  • frequency limits to prevent overlapping workflows;
  • passing interested contacts to the sales team.
03

Testing and control

  • test runs of workflows using different data;
  • checking unsubscribes and consent across all connected services;
  • error logs and alerts to the responsible person;
  • workflow documentation: triggers, recipients and messages.

HOW WE WORK

How the work progresses

You or your marketer approve message content and priorities; we handle the data and mechanics.

  1. 01

    Review data and channels

    We examine the services you use and the events and consent recorded. Deliverable: a data map and list of limitations.

  2. 02

    Design the workflows

    Together with your marketer, we define start and stop conditions and priorities where workflows overlap.

  3. 03

    Configure the connections

    We connect services and configure data transfers, segments and workflows.

  4. 04

    Test

    We run test contacts through every branch and check unsubscribes and duplicates. Only then do we enable workflows for your real contact base.

  5. 05

    Launch and hand over

    We document the logic, show where to view results and errors, and agree ongoing support.

What you receive

01 /

A data map

Where contacts, events and consent originate, and where they are sent.

02 /

Working workflows

Messages are triggered by events and stop under agreed conditions.

03 /

Up-to-date segments

Lists update without manual exports.

04 /

Documentation and controls

You can see what is sent, to whom and why, while errors do not go unnoticed.

What we need from you

  • access to CRM, your website or store, and messaging service;
  • someone responsible for content who approves workflows;
  • message copy and templates, or a separate commission for them;
  • information about how and for what customers gave consent;
  • decisions on priorities where workflows overlap.

What determines the cost

01

Ways to work together

A single workflow. For example, a welcome sequence or abandoned-basket reminders.

A workflow system. Coordinated segments, multiple sequences and data exchange between services.

02

What determines the cost

  • the number of services and data sources;
  • the number of workflows and their branches;
  • the condition of contact data and consent records;
  • the capabilities of the chosen messaging service.
03

What is paid for separately

  • messaging service and workflow platform charges;
  • SMS and paid messenger message costs;
  • email copy and design if you do not prepare them.

How does this differ from email marketing?

Email marketing covers email planning, copy, templates and results analysis. Marketing automation is the technical side: data, trigger conditions and connections between services. Both can be handled by one team.

Which messaging service should we choose?

It depends on your channels, contact base, required integrations and budget. If you already use a service, we first check whether its capabilities are sufficient.

Can we message every customer in our database?

Only those who consented to those messages. If the database’s origin or consent is unclear, we investigate that first, because sending without consent harms both reputation and delivery.

Do you guarantee emails will be delivered and opened?

No. We configure the technical side and check that workflows trigger correctly. Delivery and engagement also depend on the contact base, content, frequency and email providers’ rules.

Can data be sent to advertising accounts?

Where the platform supports it and consent is in place, yes: for example, remarketing audiences or CRM events. We coordinate configuration with web analytics so the data stays consistent. All questions and answers
