Automation

Sales and enquiry automation

We build the enquiry journey from first contact to deal: how it enters CRM, who receives it and what happens if there is no response. The system handles routine work between steps, while decisions about the customer remain with the manager.

What sales automation means at Eqvola

It means configuring workflows that take an enquiry from contact to outcome. Website, messenger, phone and advertising form enquiries are collected in one place, assigned an owner and kept from getting lost between steps.

We define rules with the head of sales: how enquiries are assigned, what counts as a late response, when to remind a manager and when to notify their supervisor. Decisions about discounts, special terms or refusals remain with people.

We work in the CRM you already use. If you have none, or it is not configured, it is worth organising the system first.

Automation does not sell instead of managers. It removes manual transfers, reminds people of the next step and shows where enquiries stall. The team decides what to do about it.

When you need sales automation

01 /

Enquiries arrive through different channels

Website, messenger, phone and advertising form enquiries are handled separately, and some get lost. We bring them into one place.

02 /

It is unclear who takes an enquiry

Enquiries sit in a shared chat until someone responds. We configure assignment according to agreed rules.

03 /

Managers forget the next step

A customer was promised a callback or proposal, but it was forgotten. We add tasks and reminders by deal stage.

04 /

The head of sales learns about problems too late

Overdue replies and stalled deals are visible only during manual checks. We configure deadline breach alerts.

05 /

The same actions are repeated for every deal

Invoices, proposals and emails are prepared manually each time. Some can be generated from CRM data.

What sales automation includes

01

Collecting enquiries

  • passing enquiries from your website, advertising forms and messengers into CRM;
  • validating required fields and checking for duplicates;
  • recording the enquiry source where available;
  • notifying the customer that the enquiry was received, where agreed.
02

Assignment and handling

  • assigning an owner by agreed rules: rotation, service area, region or workload;
  • tasks and reminders at deal stages;
  • event-driven status changes;
  • generating invoices and proposals from templates.
03

Control

  • alerts for overdue first replies or stalled deals;
  • escalation to a supervisor under agreed conditions;
  • workflow activity logs for review;
  • a list of actions deliberately left to people.

HOW WE WORK

How the work progresses

You approve enquiry handling rules; we implement them in CRM and workflows.

  1. 01

    Describe the enquiry journey

    We follow an enquiry from first contact to a deal or refusal. Deliverable: stages, roles, deadlines and exceptions approved by the head of sales.

  2. 02

    Check the systems

    We examine what your CRM, forms, messengers and telephony allow. We state limitations before implementation.

  3. 03

    Configure workflows

    We implement collection, assignment, reminders and deadline tracking. We test with sample enquiries, including non-standard ones.

  4. 04

    Launch with the team

    We explain to managers what now happens automatically and what remains their responsibility. We collect feedback and refine the rules.

FAQ

Questions about sales automation

Can’t find your question?

Send it through the form and we will reply.

Go to form
Can enquiries be assigned to managers automatically?

Yes, if the rule can be defined: rotation, service area, region or language. For enquiries outside the rules, we define who decides manually.

What happens if a manager does not reply on time?

Whatever was agreed in advance: a reminder to the manager, a notification to their supervisor or reassignment to someone else. You set the deadlines; we configure the response to breaches.

Will this replace the sales team?

No. Automation removes manual actions between steps, but customer conversations, assessing needs and decisions about terms remain with people.

How does this differ from building a sales funnel?

A funnel defines stages, messages and ownership — that is marketing and management work. We implement the agreed rules technically in CRM, workflows and notifications. If the rules do not yet exist, start with the funnel.

Can an invoice be sent to a customer automatically?

Yes, if the invoice data is in CRM and the rules are agreed. For non-standard terms, we recommend retaining a manager’s check before sending. All questions and answers
