CRM implementation and configuration

We select or refine an existing CRM to match how your team actually sells. We configure stages, roles and tasks, migrate data and train people to use the system every day.

What CRM implementation means at Eqvola

It means working with an off-the-shelf CRM, from selecting the system to the point where your team manages customers and deals in it rather than in parallel spreadsheets. Examples include HubSpot, KeyCRM, Pipedrive or another system suited to your processes and budget.

We start with your sales process, not settings. What stages a deal goes through, who is responsible for what, which data is required and what happens to lost deals. We then configure pipelines, fields, statuses and access rights around this.

If you already have CRM but people are reluctant to use it, we find out why. The cause is often unnecessary fields, unclear stages or duplicate work, rather than the system itself.

The account and data remain yours: you register the subscription to your company and pay the CRM plan separately. If no off-the-shelf system fits, we recommend custom development as a separate service.

When you need CRM implementation

01 /

Customers are managed in spreadsheets and messengers

Communication history is scattered, and information is lost when a manager changes. We bring customers and deals together in one system.

02 /

You are choosing a CRM and do not know which one

We compare several existing options against your requirements and subscription costs, rather than their advertising.

03 /

You bought a CRM, but nobody uses it

The system has default settings or does not match your process. We review stages, fields and roles and remove what is unnecessary.

04 /

You are moving from one CRM to another

We plan the migration of customers, deals and history, and check the data before and after import.

05 /

The manager cannot see the state of sales

We configure stages and required fields so deal progress is visible without manually compiling reports.

What CRM implementation includes

01

Selection and design

  • describing sales stages, roles and required data;
  • comparing off-the-shelf CRMs against your requirements;
  • designing pipelines, fields, statuses and loss reasons;
  • access permissions for different roles.
02

Configuration and data

  • pipelines, customer and deal records, tasks and templates;
  • connecting forms, email or telephony where supported by the CRM;
  • cleaning and migrating data from spreadsheets or the previous system;
  • checking duplicates and errors after import.
03

Launch and training

  • instructions for managers and the team lead;
  • team training using your real deals;
  • answers to questions during the initial period;
  • configuration refinements based on team feedback.

HOW WE WORK

How implementation progresses

You approve the sales rules and choose the system; we configure it and prepare your team.

  1. 01

    Understand your sales process

    We discuss how deals currently progress, who works with whom and where information gets lost. Deliverable: sales stages and CRM requirements.

  2. 02

    Select or assess the system

    We compare options or assess your current CRM. You decide on the system and plan.

  3. 03

    Configure

    We build the structure, roles, fields and templates and connect available enquiry channels. We demonstrate the result using test deals.

  4. 04

    Migrate the data

    We clean and import customers and deals using agreed rules. Deliverable: a database checked after import.

  5. 05

    Train and launch

    We provide training, hand over instructions and collect feedback after work begins.

What you receive

01 /

A configured CRM

Stages, fields, roles and tasks match your sales process.

02 /

Migrated data

Customers and deals from spreadsheets or your previous system, checked after import.

03 /

Rules for using the system

What is entered, when and by whom, to keep data up to date.

04 /

A trained team

Managers and the team lead know how to use the CRM every day.

What we need from you

  • someone who approves sales stages and CRM working rules;
  • existing spreadsheets, databases or access to the previous system;
  • a CRM account registered to your company;
  • managers’ time for training and feedback;
  • access to forms, email or telephony if we connect them.

Without support from the team lead, CRM quickly becomes just another spreadsheet.

What determines the cost

01

Ways to work together

Refining an existing CRM. We review and improve the system you already use.

Implementation from scratch. System selection, configuration, data migration and team training.

02

What determines the cost

  • the number of pipelines, roles and departments;
  • the volume and condition of data to migrate;
  • the number of enquiry channels to connect;
  • the training and post-launch support format.
03

What is paid for separately

  • CRM subscription and paid modules;
  • telephony and other connected service charges.

FAQ

Questions about CRM implementation

Can’t find your question?

Send it through the form and we will reply.

Go to form
Which CRM would you recommend?

It depends on your process, user count, required integrations and subscription budget. We compare several options against these criteria and explain each one’s limits. The final decision is yours.

How does this differ from CRM development?

Here we configure an existing system maintained by its provider. Custom CRM development makes sense when existing options do not match your workflow or security requirements.

Can you migrate data from Excel or Google Sheets?

Yes. We first assess the data: duplicates, inconsistent formats and empty fields. We agree cleaning rules, then check a sample of records after import.

What if managers do not want to use the CRM?

That happens when a system makes work harder. We remove unnecessary fields, configure tasks and templates and train people using real deals. But the team lead must enforce deal management rules — that is not a technical issue.

Will you connect the CRM to our website and messengers?

Standard connections supported by the CRM are configured as part of implementation. More complex data exchange with accounting, payments or other systems is handled as a separate integration. All questions and answers
